• Purpose: To operate and secure the website and, with your consent, to produce website statistics and measure marketing activity using tools such as Google Analytics and Meta Pixel.
• Legal basis: Our legitimate interest in operating and securing the website (GDPR Art. 6(1)(f)); consent for statistical and marketing cookies and similar technologies (Art. 6(1)(a)).

2.2 When you contact us
• Data: Name, email address, phone number (if provided), and the content of your enquiry.
• Purpose: To respond to and handle your enquiry.
• Legal basis: Our legitimate interest in answering enquiries (Art. 6(1)(f)), or steps taken at your request prior to entering into an agreement where applicable (Art. 6(1)(b)).
2.3 When you sign up for our newsletter
• Data: Name (if provided), email address, subscription status, and information about newsletter opens and clicks where such tracking is enabled.
• Purpose: To send you newsletters, news, invitations and other communications from Ukraine House in Denmark, and to understand engagement with our newsletters.
• Legal basis: Your consent (GDPR Art. 6(1)(a) and applicable Danish marketing rules). You can unsubscribe at any time using the unsubscribe link included in our newsletters.
Our newsletter service is provided through SendPulse.
2.4 When you register for events or activities
• Data: Information you provide when registering, such as your name, email address, phone number and other information requested in connection with the relevant event or activity.
• Purpose: To administer registrations, communicate practical information and organise the relevant event or activity.
• Legal basis: Our legitimate interest in organising and administering our events and activities (Art. 6(1)(f)), and, where relevant, steps taken at your request in connection with participation (Art. 6(1)(b)).
If a particular event requires additional or different personal data, information about that processing may be provided at the point of registration.
3. Where the data comes from
We generally collect personal data directly from you when you use the website, contact us, subscribe to our newsletter, or register for an event or activity. Technical and usage information may also be generated automatically when you interact with the website, subject to your cookie consent choices.
4. Recipients of personal data
We share personal data only where necessary for the purposes described in this Privacy Policy, including with:
• Wix, which provides the website platform, hosting and related website services.
• Usercentrics, which provides our cookie consent management solution.
• SendPulse, which provides our newsletter and email marketing services.
• Google, through Google Analytics, which we use for website statistics where you have consented to statistical cookies.
• Meta, through Meta Pixel, which we use for marketing measurement and related advertising purposes where you have consented to marketing cookies.
• Professional advisers, service providers and public authorities where disclosure is necessary or required by law.
We do not sell your personal data.

5. Transfers outside the EU/EEA
Some of the service providers we use may process personal data in countries outside the EU/EEA, including the United States. Where personal data is transferred internationally, the relevant provider and/or Ukraine House in Denmark, as applicable, relies on safeguards recognised under applicable data protection law, such as an adequacy decision, the EU–US Data Privacy Framework where applicable, or the European Commission’s Standard Contractual Clauses.

6. Retention periods
We keep personal data only for as long as it is necessary for the purposes for which it was collected, or for as long as we are required to retain it under applicable law.
• Enquiries and correspondence are retained for as long as necessary to handle the matter and any reasonable follow-up.
• Newsletter subscription data is retained while you remain subscribed. If you unsubscribe, we may retain limited information where necessary to document your opt-out and ensure that you are not contacted again contrary to your preferences.
• Event and activity registration data is retained for as long as necessary to administer the relevant event or activity and any reasonable follow-up, unless a longer period is required by law or necessary for another stated purpose.

Where data is no longer required, it is deleted, anonymised or otherwise handled in accordance with applicable data protection requirements.

Under the GDPR, depending on the circumstances, you have the right to:

• Erasure (“right to be forgotten”) where the conditions are met (Art. 17).

• Withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal (Art. 7(3)).

8. Automated decision-making
We do not use automated decision-making, including profiling, that produces legal effects concerning you or similarly significantly affects you.

We take appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access. These measures include secure encrypted connections (HTTPS), appropriate access controls, and the use of service providers with appropriate data protection arrangements.
